One World Shop takes your privacy seriously. We strive to operate as transparently as possible and are happy to discuss any particular issues or queries you may have with how and why we collect your data.

What information is collected?

The personal information we collect might include your name, address, email address, telephone number, and IP address. If you make a donation or payment online, your card information is not held by us, it is collected by our third party payment processors who specialise in the secure processing of credit/debit card transactions. We may also hold information about purchases you have made.

We are One World Shop, Edinburgh’s oldest fair trade organisation. One World Shop is a registered charity (no. SC003072) and a limited company registered in Scotland (no. SC096025). Our registered address is: St John’s Church, Princes Street, Edinburgh, EH2 4BJ.

How is it collected?

We collect your information when you place an order with us, sign up for our newsletter, make a donation, apply for a customer account, apply for a volunteering position or job, or fill out any other forms on our website.

Why is it being collected?

The information we collect from you is used to process your order, or allow us to provide you with the services you have requested from us. We may hold your contact details on file to allow you to reuse our services, or offer you further services at a later date if you agree. We do not keep any information that is not necessary to keep such as your date of birth.

How will it be used?

We may use your information to:

  • process an order you have made
  • process a donation or membership fee
  • process Gift Aid
  • contact you with updates about your order or requested services
  • notify you of changes to our services
  • send you communications that you have consented to
  • process a volunteer or job application

    Who will it be shared with?

    • We will not sell or rent your information to third parties.
    • We will not share your information with third parties for marketing purposes.
    • Third party services working on our behalf may receive some of your information for the purposes of completing tasks or services you have requested. We will only disclose the information necessary to deliver the service, and all contracts with third party services will require them to keep your information safe and not use it for their own marketing purposes. Third party services will mainly be for sending orders in the post, and donation/payment purposes but may occasionally include other organisations.
    • We may pass on some of your personal information if we are under a duty to disclose any data in order to comply with any legal obligation. We will take steps with the aim to ensure your privacy rights continue to be protected.
    • We may share non-personal data with other organisations for research purposes.

    Account customer: If you are an account customer you will have a record held on our EPOS (till system) and Sage (bookkeeping) systems, which contains your name, associated organisation, personal and/or organisation address, email, and phone number. We also keep a record of all sales, returns and payments. We do not keep any of your bank details on file unless absolutely necessary. We may also have a copy of your original paper application form and a copy of any useful communications.

    Website customers: If you have placed an order online with us, your personal information is only held on our website. All orders are processed on our EPOS system with your name, order and invoice number as a reference. We do not keep a copy of your address anywhere except the website, and on any third party sites used to send your order to you. We may contact you to update you about your order, and so your email or phone number may be used for this purpose. Paper copies of your order are destroyed once your order is sent out.

    Newsletter: You can manage your subscription to our newsletter by clicking the ‘Update my Preferences’ link at the bottom of any newsletter email from us. Our newsletter services are managed by Mailchimp – who also take your privacy seriously. When you sign up for our newsletter in our shop, your email address is input to Mailchimp manually and then destroyed. 


    How we use cookies
